Why is Doctrine relying on Tomorro's AI to optimise its contracts?

With 170 employees by 2025, strong growth and a diversified business, Doctrine needed a solution capable of centralising, structuring and automating the management of its contracts. The tool chosen had to comply with the rules in force.
- 100% of contracts correctly archived with metadata
- 40 active users (HR, product, marketing...)
Hugo Ruggieri, Legal and Public Affairs Director and DPO at Doctrine, explains how Tomorro and its AI Oro have enabled the teams to gain in autonomy and productivity.
What were the challenges facing Doctrine?
Doctrine's legal department, headed by Hugo Ruggieri, is made up of two other lawyers. One is specialised in RGPD, security and compliance issues, while the other is dedicated to developing Doctrine's functionalities, primarily those of generative AI (GenAI).
From the outset, Hugo had clearly identified a number of key requirements for optimising the contract management of his small team. The main objective was to structure and centralise contracts, in order to save time and ensure better traceability.
The legal team was facing four major challenges:
A growing volume of contracts
Doctrine manages a wide variety of contracts, in particular service provision agreements, partnerships and author contracts (with over 100 authors in its publishing business). It was essential to automate the creation and management of these documents.
A need to standardise and simplify validation
Some contracts, such as NDAs and GTCs, were repetitive. However, Hugo regularly had to validate them manually. It was therefore important to standardise these documents, so as to avoid wasting time reviewing standard clauses.
Inadequate contract tracking
Before Tomorro, contracts were scattered, sometimes on Drive, sometimes in emails, and still other times on Slack, making tracking them complex. There was an urgent need to ensure optimal traceability and to have an overview of contracts in progress (particularly for renewals and company commitments).
A control process for new SaaS tools was lacking
Teams were very agile and tended to test numerous SaaS tools without prior legal validation. This created a number of compliance and commitment management risks. Hugo therefore set up a clear process on Tomorro, so that every new project requiring contractual validation would be submitted to him before being adopted.
Doctrine has been using Tomorro since 2022 to meet these challenges. Today, the tool is used by around 40 employees in various departments (legal, HR, sales, finance and product).
The benefits of using Tomorro
The first major benefit is the considerable acceleration of the contracting process. The use of pre-configured templates has eliminated repetitive tasks and facilitated the drafting of contracts.
Another major benefit is the empowerment of teams. Today, a number of departments use Tomorro to manage their own contracts, without having to systematically depend on the legal team. For example:
- HR now manages all employment contracts via Tomorro.
- The sales team has standardised contracts for commercial offers and NDAs.
- The product team uses Tomorro to contract beta testers, with a 100% automated process integrating Typeform and Zapier.
The result? Considerable time savings and a reduction in the mental workload of the lawyers. They can now concentrate on higher added-value tasks. As Hugo Ruggieri points out: ‘Once everything is configured, I don't have to worry about it. It gives me peace of mind.
This empowerment also benefits operational teams such as engineering, product and sales. These teams need to be able to react quickly to their projects. Having direct and easy access to validated contractual models means they can avoid legal issues becoming a bottleneck in their work.
Another key impact of Tomorro is the security of contracts. Before the platform was integrated, some contracts escaped the scrutiny of the legal department, particularly those involving SaaS tools adopted by the teams. Today, every contract is systematically recorded and monitored, guaranteeing greater traceability and strict compliance with commitments. This centralisation ensures that no document slips under the legal team's radar.
What Doctrine appreciates about Tomorro's AI: its natural integration into contractual processes. From the outset, Hugo Ruggieri had a particular curiosity about AI and was waiting to see how Tomorro would integrate generative AI into concrete workflows, beyond simple chatbots. According to Hugo Ruggieri, the addition of Oro, Tomorro's AI tool, brought significant added value, particularly in terms of managing and exploiting contractual data.
One of Doctrine's most frequently used functions is automatic data extraction. Before Oro, contracts were archived without any associated metadata, making them difficult to search and track. Now, each imported document is analysed and the essential information is automatically structured, including :
- Duration of the contract
- Renewal
- Identification of the co-contractor,
- Specific clauses
- etc.
"Before, I had to take time to archive my contracts correctly. Now, as soon as I receive a document, I integrate it into Tomorro without even thinking about it,’ explains Hugo Ruggieri.Other features, such as reformulation and automatic translation, are used to translate templates into English. ‘These days, nobody translates a document without using a tool like DeepL. The fact that this functionality is directly integrated into Tomorro, preserving all the specific variables and formats, is a real plus’, adds Hugo Ruggieri.
Hugo Ruggieri is particularly interested in AI Review, Oro's new feature. This feature automatically enriches the contractual policies of companies, even those that don't have one. This ability to create and structure legal repositories using AI could be a game changer for businesses, especially those that have not yet formalised their practices.
As Hugo Ruggieri points out: ‘Generative AI must be a technology that integrates naturally into work processes and enhances existing workflows’.
With this in mind, Tomorro's AI is constantly evolving to integrate ever more naturally into business practices.
